Accommodation Agreement, Reservations and Guest Policies
Welcome to La Posada. This document consolidates the accommodation contract, reservation and cancellation terms, and house rules. By confirming a reservation, the booking guest and accompanying guests agree to these terms.
1. Scope and Formation of Contract
The accommodation contract is formed when the Inn accepts the application and issues a confirmation. Terms of a booking platform also apply where relevant. Clearly stated conditions of a specific accommodation plan prevail over these general terms.
2. Reservation Details and Guest Register
Accurate names, contact details, stay dates, number of guests and other requested information must be provided. Guests must complete the legally required guest register. Foreign guests without an address in Japan may be asked to record nationality and passport number and present a passport for copying.
3. Charges and Payment
Accommodation, meals, taxes, bathing tax and additional charges are shown in the confirmation or applicable notice. Payment method and timing are stated in the plan or payment screen. A deposit or prepayment may be required.
4. Check-in and Check-out
Times are stated in the confirmation or plan. Guests arriving late must promptly contact the Inn. Where a guest is substantially late without notice, the booking may be cancelled or a meal may no longer be available. Additional charges may apply for late check-out.
5. Changes, Cancellation and No-show
| Timing | Cancellation charge |
|---|---|
| Up to 14 days before arrival | No charge |
| 13 to 7 days before arrival | 30% |
| 6 to 3 days before arrival | 50% |
| 2 days before arrival to the preceding day | 80% |
| Day of arrival | 100% |
| No-show without notice | 100% |
Charges are based on the booked accommodation amount, including applicable meals and plan charges. Different terms may apply to groups, exclusive-use bookings, peak periods, special plans, travel agents or booking platforms. Reducing guest numbers, shortening the stay or departing early may also be treated as cancellation.
6. Meals and Allergies
Food allergies, religious restrictions and dietary requests must be notified at booking or by the stated deadline. The Inn will make reasonable efforts but uses shared kitchens and equipment and cannot guarantee complete allergen removal or absence of cross-contact. Severe allergies should be discussed before confirming the reservation.
7. House Rules and Quiet Hours
- Respect other guests, neighbours and staff. Quiet hours are generally 22:00–07:00.
- Unregistered visitors require prior approval before entering guest rooms.
- Dangerous goods, illegal drugs and weapons prohibited by law are not allowed.
- Do not use flames, cooking devices, incense or candles without permission.
- Do not interfere with emergency exits, extinguishers, detectors or other safety systems.
- Pets are prohibited unless expressly accepted by the Inn.
8. Non-Smoking Property
Except for any specifically designated smoking area, all rooms, corridors, common areas, terraces and other premises are non-smoking. This includes cigarettes, cigars, heated-tobacco devices and e-cigarettes. Breach may result in removal and recovery of actual reasonable costs for deodorising, specialist cleaning, washing or replacement of bedding, curtains, furniture, wall coverings or air-conditioning, lost room revenue and related loss. These amounts compensate actual loss and are not punitive fines.
9. Damage, Soiling and Special Cleaning
Guests are responsible for reasonable actual costs arising from damage, loss, exceptional soiling, bodily-fluid cleaning, unauthorised animals, fire, water damage or other conduct caused intentionally or negligently, including repair, replacement, specialist cleaning, disposal, lost trading time and alternative arrangements.
10. Parking, Valuables and Lost Property
Parking is at the guest’s responsibility except where loss results from the Inn’s fault. Guests must secure cash, passports, jewellery and electronics. Lost property is handled under law and Inn procedures; shipping is normally at the guest’s cost. Food, beverages and unhygienic items may be disposed of promptly.
11. Children and Safety
Parents and guardians must supervise children and ensure their safety in the property, stairs, bathing areas, roads and parking areas. Guests must follow staff instructions during accidents, illness, fire or other emergencies.
12. Refusal or Termination of Accommodation
The Inn may refuse or terminate accommodation where permitted by the Hotel Business Act or other law, including full occupancy, facility issues, failure to provide legally required infection-control cooperation, violence, threats, serious nuisance, organised-crime connections, repeated unreasonable demands toward employees, false reservations, unauthorised payments, serious breach of these terms or inability to operate safely. Required accommodations will be considered and unlawful discrimination is prohibited.
13. Compliance and Cooperation with Authorities
Where crime, violence, illegal drugs, theft, fraud, property damage or a serious safety risk is suspected, the Inn may contact police, fire services, public-health authorities, payment providers or other relevant bodies, provide information as permitted by law and cooperate with investigations. Actual loss, recovery costs and legally recoverable expenses may be claimed for unlawful conduct or wilful or grossly negligent damage.
14. CCTV
CCTV may be used in common areas for safety, security and incident investigation. It will not be installed in guest rooms, bathing areas or other places with a strong expectation of privacy. Footage is handled under the Privacy Policy and applicable law.
15. Force Majeure and Liability
Where performance is prevented by natural disaster, typhoon, earthquake, fire, infectious disease, transport, logistics, communications or power failure, government order or another event beyond reasonable control, the Inn will take reasonable steps such as offering alternative dates, cancellation or refund. To the extent permitted by law, liability is limited to ordinary direct loss caused by the Inn’s wilful misconduct or negligence.
16. Amendments, Language and Law
These terms may be revised for legal or operational changes. The Japanese version is authoritative; to the extent permitted by law, it prevails over translations in case of inconsistency. Japanese law applies and the court having jurisdiction over the Inn’s location has exclusive first-instance jurisdiction where legally permitted.
